PURPOSE
Process, fulfill and monitor customers’ spare parts inquiries, quotations, orders, deliveries and invoices in a professional way that ensures delivery of spare parts in time and within budget while keeping the customers informed about the progress/status of their order. Give technical advice when needed.
SCOPE
The job is within the Spare parts EMEA department of Ranpak Automation, a division of
Ranpak BV. The span of control is from receiving a customer inquiry until payment of the invoice. Also monitoring the spare part stock levels and inventory are part of the job as well as the technical advice to customers.
REPORTING
The Spare Parts Engineer reports to the Head of Spare parts Ranpak Automation.
RESPONSIBILITIES
Fully accountable for the execution and advice of spare part orders and sending out order confirmations
Responsible for preparing and timely submission of spare parts quotations
Accountable for a correct, direct and frequent communication and follow up with customers
Fully accountable for timely processing of all e-mails received at auto.parts@ranpak.com
Fully accountable for sufficient stock levels of spare parts (except for the physical part of the stock,
this is the responsibility of the logistic department)
Responsible for the delivery of spare parts within agreed delivery times and within budget
Timely acknowledgement of receipt of customers’ inquiries, quotations and orders
Actively contribute to the professional and profitable service organization
MAIN TASKS
Constant monitoring of the auto.parts@ranpak.com email account
Send acknowledgements of receipt to customers
Prepare and send spare parts quotations to customers
Process and transfer customer purchase orders into the ERP system (SAP / LN)
Send order confirmations and invoices to the customer
Keep customers informed on the progress of their order and report delivery times as well as delays
timely to the customers
Check availability of parts in ERP and report deviations between stock and ERP to logistics
Review and adjust pricing according to the Ranpak Automation pricing policy for spare parts
Consult management for approval in case of deviations in pricing
Always question customer’s warranty claim internally and validate with Field Service Supervisor and Contract Supervisor
Work with Engineering in case of not existing parts in the ERP system
Purchase (with the help of the purchasing department) missing parts according to Ranpak
purchasing procedures
Challenge cost prices and sourcing (supplier) and suggest alternatives in consultation with
engineering and purchasing
Transfer all required data to warehouse management (logistics) for shipment
Provide weekly overviews of all pending quotations and orders including amount, value, shipped in
time, delayed and other spare parts related data requested by management
Monitor the stock levels based on projected annual sales and report and act on expected shortages
to prevent out-of-stock
PROFILE
MBO + or HBO level, service minded, administrative strong and commitment to follow procedures
Technical background or affinity
Good communications skills leading to direct yet polite communication with customers
Experience of at least 3 years in selling technical parts
Eagerness to optimize processes
Full-time job, no 9 – 5 mentality, a good team player and yet capable of working independently
Language skills: English, Dutch, German, extra languages are an advantage
System knowledge: MS Office, SAP / Infor LN or other ERP system
